Annex II

Technical and Organisational Security Measures

Dot5 has implemented the following technical and organisational measures:

Security MeasureDescription
Measures of pseudonymisation and encryption of personal dataCustomer Personal Data is encrypted in transit using TLS and encrypted at rest using AES-256. Storage-level encryption is enabled on the AWS RDS database and managed through AWS KMS, and files and media held in Amazon S3 are protected with AES-256 server-side encryption. Authentication and session tokens are signed using dedicated EdDSA signing-key infrastructure, and multi-factor authentication secrets (TOTP) are held in encrypted storage. Credentials and secrets are held in a dedicated secrets-management facility rather than in source code or configuration. Encryption keys are managed in AWS Key Management Service (KMS) as dedicated keys separated by purpose, with automatic key rotation enabled. Personal Data is pseudonymised where appropriate to the Processing.
Measures for ensuring ongoing confidentiality, integrity, availability and resilience of processing systems and servicesAccess between internal services follows least-privilege principles, with permission validation applied on a fail-closed basis and supported by route-coverage testing, and with measures to limit the impact of any credential compromise. Multi-tenant boundaries are enforced through tenant-context isolation infrastructure, with database queries automatically scoped to the requesting organisation and API endpoints audited for cross-tenant access. The platform applies input validation and sanitisation, protection against SQL injection, restricted error responses to prevent information disclosure, brute-force protection on authentication endpoints, CORS restrictions, security response headers, and protection of API documentation interfaces, together with validation of uploaded files by type, size and content, protection against cross-site scripting and open redirects, and cryptographic signature verification of incoming payment webhooks. The database is hosted in private subnets with no public access, and requests to the platform are filtered by a web application firewall (AWS WAF). Traffic to AWS services is routed through private VPC endpoints rather than the public internet. Dependencies are kept current through supply-chain hardening and vulnerability remediation, with secure system configuration, patching, and active monitoring and alerting.
Measures for ensuring the ability to restore the availability and access to personal data in a timely manner in the event of a physical or technical incidentBackup and recovery procedures designed to maintain and restore service availability and access to Personal Data following a physical or technical incident. Database backups are stored as recovery points in an AWS Backup vault protected by Vault Lock.
Processes for regularly testing, assessing and evaluating the effectiveness of technical and organisational measures in order to ensure the security of the processingIndependent third-party penetration testing is scheduled, with findings to be tracked to remediation. Security testing includes dependency vulnerability scanning and remediation. Changes are subject to route-coverage testing targeting backend APIs. Event and audit logging and infrastructure-level access logs are maintained, together with tooling to detect vulnerabilities and anomalies, including AWS GuardDuty threat detection, AWS Security Hub and vulnerability scanning of container images.
Measures for user identification and authorizationUsers are individually identified and authenticated. Authentication controls include two-factor authentication (TOTP), mandatory for owner and administrator roles, with recovery codes available, email verification at account sign-up, single-use tokens, strengthened password policies, protection against user enumeration, and brute-force protection on authentication endpoints. Sessions use secure cookie-based handling with session limits, automated session cleanup, refresh-token lifecycle controls with alerting on token reuse, short-lived access tokens, full server-side termination of sessions on sign-out, individually revocable sessions and automatic logout after a period of inactivity. Access is governed by role-based access controls and least-privilege principles, with authentication required for organisation-creation endpoints, asset access scoped to organisation ownership, and measures to limit the impact of any credential compromise.
Measures for the protection of data during transmissionPersonal Data is protected in transit using TLS, with certificates managed through AWS Certificate Manager and traffic between internal services kept on private networks, together with cookie-based session handling, CORS restrictions and security response headers applied to the application.
Measures for the protection of data during storagePersonal Data is encrypted at rest using AES-256, with storage-level encryption on the AWS RDS database managed through AWS KMS and AES-256 server-side encryption applied to files and media held in Amazon S3. Credentials and secrets are held in dedicated, encrypted storage. Tenant data is isolated. Storage buckets are not publicly accessible, and files and media are served only through the content delivery network using origin access control.
Measures for ensuring physical security of locations at which personal data are processedPersonal Data is hosted in Amazon Web Services (AWS) data centres, which maintain physical access controls, surveillance and environmental safeguards at the facilities at which Personal Data is processed.
Measures for ensuring events loggingEvent and audit logging and infrastructure-level access logs are maintained, including a tamper-evident, append-only audit log partitioned per tenant, AWS CloudTrail records of all AWS API activity, load-balancer access logs and network flow logs, and automated alerts are raised for defined security-relevant events.
Measures for ensuring system configuration, including default configurationSystems are securely configured, including secrets management, CORS restrictions, security response headers and protection of API documentation interfaces, with secure default configuration. Infrastructure is defined as code, a service control policy blocks operations outside approved AWS regions, and deployments use short-lived federated (OIDC) credentials, with static AWS access keys prohibited.
Measures for internal IT and IT security governance and managementIT security governance and management; Accountability mechanisms; Security program aligned to industry-standard security practices and policies. Personnel authorised to Process Customer Personal Data are bound by confidentiality obligations and receive security-awareness training at least annually. Documented access-management and offboarding procedures govern the granting and prompt revocation of access to systems and Personal Data when personnel join, change roles, or leave.
Measures for certification/assurance of processes and productsRegular security testing together with IT security governance and management.
Measures for ensuring data minimisationCollection of Personal Data is limited to what is necessary for the Services, supported by a cookie consent “Manage Preferences” control allowing users to manage non-essential cookies.
Measures for ensuring data qualityInput validation and sanitisation and protection against SQL injection to support the accuracy and integrity of stored Personal Data.
Measures for ensuring limited data retentionAutomated session cleanup, consistent with the retention periods set out in this DPA. Personal Data is retained in line with a documented retention schedule per data category.
Measures for ensuring accountabilityAccountability mechanisms supported by event and audit logging and infrastructure-level access logs, and records of processing activities maintained under Article 30 of the GDPR.
Measures for allowing data portability and ensuring erasureProcesses and tooling supporting deletion of Customer Personal Data and export of Customer Personal Data upon request or termination. On termination, Customer Personal Data is returned or permanently deleted through an automated offboarding process, and written confirmation of deletion is available on request.
